Role Description
Alpha Star Research is seeking a proactive and detail-oriented Business Operations Specialist to support the firm's day-to-day operations across office management, vendor coordination, compliance, finance, and business administration. This role serves as a key operational partner, helping ensure the smooth execution of internal processes within a fast-growing AI-driven investment management firm.
Key Responsibilities
- Manage daily office operations, workplace administration, and company assets.
- Maintain company accounts, system access permissions, and operational platforms.
- Coordinate vendor relationships, procurement activities, and contract administration.
- Support office purchasing, facilities management, and operational efficiency initiatives.
- Assist with compliance programs, document management, licensing, and audit preparation.
- Support payment processing, expense reimbursements, and financial record maintenance.
- Coordinate with banks, auditors, tax advisors, and other external partners as needed.
- Partner with Finance, Legal, HR, and other teams on day-to-day operational matters.
- Assist leadership with special projects and business initiatives.
- Identify opportunities to improve processes, controls, and organizational effectiveness.
Qualifications
- Bachelor's degree or equivalent professional experience.
- 0-3 years of experience in business operations, office management, administration, project coordination, finance operations, or a related function.
- Experience working with vendors, contracts, procurement processes, or external service providers.
- Ability to handle sensitive and confidential information with professionalism and discretion.
- Strong problem-solving mindset with a proactive, hands-on approach to execution.
