Technical Asset Coordinator (Part Time)
Jolt is seeking a detail-oriented Technical Asset Coordinator to manage the intake, organization, preparation, and delivery of film assets across our distribution and exhibition workflows.
This part-time role sits at the intersection of film operations, digital distribution, theatrical delivery, and platform support. The ideal candidate understands media files and technical specifications, communicates clearly with internal teams, filmmakers and vendors, and can reliably manage multiple titles and delivery deadlines.
Key Responsibilities
Film Asset Intake and Management
- Coordinate the collection of film assets from filmmakers, producers, distributors, and post-production teams.
- Review incoming materials for completeness, accuracy, and compliance with Jolt’s technical requirements.
- Organize and maintain film assets within Jolt’s storage and asset-management systems.
- Track missing, replacement, and updated materials through resolution.
- Maintain clear asset inventories and delivery-status trackers for each film.
- Ensure approved versions are properly labeled, stored, and distributed without version confusion.
Assets may include:
· Film masters related files
· Trailers, BTS footage and clips
· Key art, posters, thumbnails, and stills
· Closed-caption and subtitle files
· Audio stems and alternate-language tracks
· Metadata and credits
· DCPs and theatrical exhibition files
Aggregator and Platform Deliveries
- Prepare and coordinate outbound film files and supporting materials for aggregators and digital platforms.
- Confirm that video, audio, artwork, metadata, captions, and subtitle files meet each platform’s delivery specifications.
- Submit or transfer files through systems such as Aspera, WeTransfer, cloud storage, FTP, or aggregator portals.
- Monitor deliveries, respond to technical rejections, and coordinate corrected or replacement files.
- Maintain records of delivery dates, platform acceptance, outstanding issues, and final approvals.
- Coordinate with Jolt’s distribution and film teams to ensure delivery timelines align with release dates.
DCP and Theatrical Support
- Coordinate DCP orders with approved vendors for theatrical screenings and qualifying releases.
- Confirm specifications including aspect ratio, audio format, captions, subtitles, encryption, and delivery method.
- Arrange DCP downloads, hard-drive shipments, KDMs, or other theater-specific delivery requirements.
- Communicate with theaters, projection teams, filmmakers, and vendors to confirm successful ingestion and testing.
- Track DCP orders, shipment information, testing status, screening dates, and associated costs.
- Help troubleshoot time-sensitive theatrical delivery issues.
Captions, Subtitles, and Accessibility
- Coordinate the creation, review, conversion, and delivery of closed-caption and subtitle files.
- Check caption and subtitle files for correct language, timing, naming conventions, and format.
- Manage requests for formats such as SRT, WebVTT, SCC, TTML, or platform-specific files.
- Coordinate corrections with filmmakers, captioning vendors, and internal stakeholders.
- Confirm whether subtitles should be burned into the picture or delivered as separate files based on exhibition requirements.
- Support Jolt’s accessibility standards across digital and theatrical releases.
Jolt Platform and Site Support
- Assist with film-page setup and technical quality-control checks before launch.
- Confirm that video files, trailers, captions, artwork, metadata, links, and calls to action display and function correctly.
- Identify and document playback, captioning, artwork, metadata, or content-display issues.
- Coordinate issue resolution with Jolt’s product, engineering, distribution, and film teams.
- Support updates or replacements when film assets change after launch.
- Conduct pre-launch and post-launch checks across relevant devices and browsers.
Tracking and Operational Support
- Maintain accurate asset, delivery, DCP, captioning, and technical-issue trackers.
- Flag missing materials, technical risks, and timeline concerns early.
- Document delivery specifications, recurring issues, and resolution steps.
- Help improve Jolt’s asset-intake and technical-delivery procedures.
- Support multiple film releases and screenings simultaneously while maintaining accuracy and clear communication.
Qualifications
- One to three years of experience in film distribution, post-production, media operations, digital asset management, theatrical operations, streaming, or a related field.
- Working knowledge of digital video, audio, caption, subtitle, artwork, and metadata deliverables.
- Familiarity with common media formats, codecs, aspect ratios, frame rates, audio configurations, and file-transfer systems.
- Experience coordinating DCP creation or theatrical delivery is strongly preferred.
- Familiarity with digital distribution platforms or aggregators is a plus.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple deadlines and identify missing or incorrect materials.
- Clear written communication skills, particularly when explaining technical requirements to nontechnical partners.
- Comfort working independently and escalating issues when necessary.
- Interest in independent film and Jolt’s mission of connecting meaningful films with global audiences.
Role Details
- Approximately 20 hours per week, with hours varying around film launches and theatrical screenings
- Primarily remote, with availability during Jolt’s core Eastern Time working hours
- Some evening or weekend availability may occasionally be required for time-sensitive screenings, launches or AMPAS submissions
- U.S. Work Authorization required
